FAQ
Learn how our Full Itinerary Plans and Focused Day Plans work, what’s included, and how to choose the right support for your Japan trip.
Choosing the right plan
1. What is the difference between a Full Itinerary Plan and a Focused Day Plan?
A Full Itinerary Plan is designed for travelers who want the overall structure of their Japan trip planned day by day. It may include routing, pacing, dining and local ideas, transit guidance, base and hotel area guidance, and useful links across multiple days.
A Focused Day Plan is smaller in scope. It is designed for one specific day, area, or part of your trip, such as a Tokyo shopping route, a sweets and café day, or a family-friendly day with realistic pacing.
2. Can I ask for help with only one part of my trip?
Yes. You do not need to request a full itinerary if you only need help with one part of your Japan trip.
We may be able to help with a specific day, area, theme, or route, depending on the request. If you are unsure which option fits your trip, please ask us first.
3. How do I know which plan is right for me?
If you are not sure whether you need a Full Itinerary Plan or a Focused Day Plan, please send us a question before applying.
We will review your request and let you know which type of support may fit your trip.
Full Itinerary Plans
4. What is included in a Full Itinerary Plan?
A Full Itinerary Plan is designed to give you a clear day-by-day structure for your Japan trip.
It may include routing, practical pacing, dining and local ideas, suggested base and hotel areas, transit guidance, map links, booking links, and practical notes across multiple days.
5. What are “Priority themes”?
Priority themes are the main interests or travel goals that guide your itinerary, such as food, shopping, culture, nature, family-friendly activities, local neighborhoods, or seasonal experiences.
They help us focus your plan so it feels personal and realistic, rather than trying to include everything.
The number of priority themes depends on the plan you choose: Essential includes 1 priority theme, Classic includes up to 2, and Multi City includes up to 3.
6. What is a base?
A base is the main place where you stay overnight and travel from during part of your trip.
For example, Tokyo, Kyoto, Osaka, Kanazawa, or Hiroshima may each count as a base if you stay there and use it as the center for nearby sightseeing.
The number of bases included depends on the plan you choose. Additional bases may require a higher plan or a custom quote.
7. What are day trips and extended day trips?
A day trip is a visit to a destination outside your main base that can be reasonably planned as part of your itinerary without changing hotels.
An extended day trip is a longer or more complex day trip that may require additional planning due to travel distance, transportation options, timing, or the number of places involved.
Whether a request counts as a standard day trip or an extended day trip is determined by Getaway Japan Itineraries based on the overall scope and complexity of the plan.
8. How many bases can I include?
The number of bases depends on the plan you choose.
Essential is designed for 1 base, Classic includes up to 2 bases, and Multi City includes 3 to 4 bases.
If your trip includes more bases or a more complex route, we may provide a custom quote depending on the overall itinerary scope.
9. How many days can you plan?
Our standard Full Itinerary Plans cover trips from 3 to 14 days.
If your trip is longer than 14 days, please contact us before applying. We may be able to provide a custom quote depending on the length, number of bases, destinations, and overall complexity of your trip.
10. Can you plan outside Tokyo and Kyoto?
Yes. We can plan itineraries for destinations beyond Tokyo and Kyoto, depending on your travel dates, interests, and overall route.
This may include major cities, regional destinations, seasonal spots, local neighborhoods, and day trips that fit naturally into your itinerary.
Some destinations may require additional research or a custom quote depending on distance, complexity, transportation options, and the level of detail needed.
Focused Day Plans
11. What is a Focused Day Plan?
A Focused Day Plan is a smaller custom plan for one specific day, area, theme, or part of your Japan trip.
It may be a Tokyo shopping route, a sweets and café day, a family-friendly day, or a carefully planned route through one specific area.
It is designed for travelers who do not need a full day-by-day itinerary, but still want local insight, realistic pacing, and a clear plan for one important part of their trip.
12. Are Focused Day Plans fixed packages?
No. Focused Day Plans are not fixed packages.
The examples shown on our website, such as a Tokyo shopping route, a sweets and café day, or a family-friendly day, are simply examples of the kinds of requests we may be able to help with.
Each Focused Day Plan is custom-made based on your interests, schedule, travel style, and the level of detail needed.
13. How much do Focused Day Plans cost?
Focused Day Plans start from $129.
Final pricing may vary depending on the scope, number of areas, complexity, and level of detail required.
If you are not sure whether your idea fits, please contact us before applying.
14. Do Focused Day Plans include the same level of detail as Full Itinerary Plans?
Focused Day Plans are smaller in scope than Full Itinerary Plans, so they do not include full multi-day planning, base strategy, or hotel area guidance across your entire trip.
However, they still include practical local insight, realistic pacing, route ideas, useful links, and notes tailored to the specific day, area, or theme you request.
The exact level of detail may vary depending on the scope of your request and the final quote.
Pricing, payment, and delivery
15. How do quotes and pricing work?
Each request is reviewed individually, and we will send you a custom quote based on your travel dates, destinations, number of days, number of bases, priority themes, and overall complexity.
Full Itinerary Plans follow the pricing ranges shown on our Plans and Pricing page. Focused Day Plans start from $129, with final pricing depending on the scope and level of detail required.
Quotes are valid for 3 days. Planning begins after payment is confirmed.
16. When does planning begin?
Planning begins after your payment has been confirmed.
After we review your application or request, we will send you a custom quote and payment link. Once payment is completed, we will begin preparing your Full Itinerary Plan or Focused Day Plan.
17. When will I receive my plan?
Your Full Itinerary Plan or Focused Day Plan will be delivered by email within 7 business days after payment is confirmed.
If your request is especially complex, we will let you know before payment if a longer preparation time may be needed.
18. When is the best time to apply?
For Full Itinerary Plans, we recommend applying after your travel dates, flight plans, and general destinations are mostly decided.
For Focused Day Plans, you may apply once you know the date, area, theme, or part of your trip you would like help with.
The earlier you apply, the easier it is to create a thoughtful plan, especially during busy travel seasons such as cherry blossom season, summer holidays, autumn foliage season, and year-end holidays.
19. Do you offer rush delivery?
Rush delivery may be available depending on our current schedule and the complexity of your request.
If you need your Full Itinerary Plan or Focused Day Plan sooner than 7 business days, please contact us before applying.
Additional rush fees may apply, and availability is not guaranteed.
Bookings and reservations
20. Do you recommend hotels or hotel areas?
For Full Itinerary Plans, we may suggest base areas or hotel areas that fit your route, travel style, and overall itinerary.
We do not book hotels for you, and we do not guarantee availability, pricing, or specific hotel conditions.
For Focused Day Plans, hotel guidance is usually not included unless it is directly related to the specific day, area, or route you request.
21. Do you handle bookings for restaurants, hotels, transportation, or activities?
No. Getaway Japan Itineraries does not make bookings or payments on your behalf.
We may provide booking links, official website links, reservation notes, and practical guidance when relevant, but all reservations, purchases, cancellations, and payments must be completed by the traveler.
Availability, prices, opening hours, and booking conditions may change, so we recommend checking directly with each provider before making a reservation.
Changes, policies, and special requests
22. What if the delivered plan does not match my original request?
If the delivered plan does not reasonably match the scope or priorities confirmed before planning began, we will make one complimentary revision.
This revision is intended to address misalignment between the confirmed request and the delivered plan.
Changes based on new preferences, new destinations, additional days, schedule changes, or a different travel direction after delivery are not included in the complimentary revision and may require an additional quote.
23. Can I request additional planning after delivery?
Additional planning after delivery may be available depending on the request and our current schedule.
Requests such as adding new destinations, extra days, additional routes, new restaurant or activity research, or a different travel direction are not included in the original plan or complimentary revision.
If you would like additional planning after delivery, we can review your request and provide a separate quote.
24. Do you provide support during my trip?
Getaway Japan Itineraries is a pre-trip planning service. We prepare and deliver your Full Itinerary Plan or Focused Day Plan before your trip.
We do not provide real-time support, on-site guiding, emergency assistance, or day-by-day support during your trip.
If you are looking for deeper food-focused decision support before or during your trip, our other service, Gourmet Lingual, may be a better fit. You can learn more about it from the Gourmet Lingual link on our website.
25. Can you accommodate dietary needs or mobility needs?
We can take dietary needs, mobility needs, walking distance, and general comfort into consideration when creating your plan, as long as you share this information with us before planning begins.
However, we cannot guarantee that every restaurant, hotel, attraction, or transportation option can fully accommodate specific dietary restrictions, allergies, accessibility needs, or medical conditions.
Travelers are responsible for confirming details directly with each provider before making reservations or visiting.
26. Can you plan for families with children?
Yes. We can take children’s ages, interests, meal timing, rest breaks, walking distance, and family-friendly pacing into consideration when creating your plan.
For families with young children, we may suggest a more realistic pace, shorter travel blocks, flexible stops, and backup options when appropriate.
Please share any important details about your children’s ages, routines, interests, or needs before planning begins.
27. Can I cancel or get a refund?
Because each plan is custom-made, payments are generally non-refundable once planning has begun.
If you need to cancel before planning has started, please contact us as soon as possible. We will review the situation based on the timing of your request and the status of the work.
For full details, please review our Terms and Conditions before completing payment.
