Getting started
1. What is included in the itinerary?
You will receive a finished PDF itinerary in English. It typically includes a day by day structure, curated options for dining and activities, suggested areas to stay, booking links, and map links. We focus on practical pacing and realistic routes.
2. How do quotes and pricing work?
Our website shows price ranges. After you submit your application, we email you a quote based on your trip length, number of bases, and complexity. Quotes are valid for 3 days. Work begins after payment confirmation.
3. What information do you need from me?
We ask for the essentials needed to shape your itinerary, such as travel dates, number of travelers, trip style, areas you plan to stay, your priorities and pace, budget range, must do items, and any constraints such as dietary needs, mobility needs, or traveling with children.
4. What are "Priority themes"?
Priority themes are the main focus areas you want your trip to be built around (e.g., Food & Dining, History & Culture, Nature & Scenery, or Shopping). Depending on your chosen plan, you can select one or more themes. This helps our local experts tailor the recommendations and pacing to perfectly match your specific travel style.
5. When is the best time to apply?
We recommend applying after your flights are booked. This helps us create the best possible itinerary that matches your schedule and priorities, since flight airports and timing can significantly affect routing and pacing.
6. When will I receive my itinerary?
Delivery is within 7 business days after payment confirmation.
Scope and planning rules
7. What is a base?
A base is where you stay overnight, your hotel location. Day trips where you return to the same hotel still count as one base.
8. What are day trips, and what is an extended day trip?
A day trip is a visit you make from your base and return to the same hotel the same day. Day trips from your base are typically included. Some destinations may be treated as extended day trips and may require an additional fee due to travel time and planning complexity. Examples from Tokyo include Nikko, Hakone, and the Mt. Fuji area. Whether a destination is treated as an extended day trip is determined by us.
9. How many bases can I include?
It depends on your plan. Essential includes 1 base. Classic includes up to 2 bases. Multi City includes 3 to 4 bases. If your trip requires more bases, we can still support it. We will confirm scope and pricing in your quote.
10. How many days can you plan?
We can start from 2 nights and 3 days. Your quote will reflect trip length, bases, and complexity.
11. Can you plan outside Tokyo and Kyoto?
We can plan across Japan. Your quote will reflect the number of bases, trip length, and complexity.
Hotels and bookings
12. Do you recommend hotels, and do you choose them for me?
We can recommend hotel options based on your priorities and location. For each overnight area, we provide up to three hotel options. You book directly in your name.
13. Do you handle bookings for restaurants, hotels, or activities?
No, we focus purely on crafting your perfect plan. To give you complete flexibility and control over your personal details, we provide direct booking links. All final reservations and payments are handled securely by you, under your own name.
Changes, add ons, and policies
14. Can I request changes after delivery?
Your itinerary is carefully crafted based on your initial request. We offer one complimentary revision if we missed any of the priorities you provided in advance. Requests must be submitted within 48 hours of delivery. New destinations, added days, or major scope changes require a new application and a new quote.
15. Can I add more planning after delivery?
Yes, but it is treated as a new request. Please submit a new application. If it is an extension of an itinerary we previously created, note that in your application so we can review it as a continuation.
16. Do you offer rush delivery?
Rush delivery may be available by request for an additional fee, depending on availability. Please ask and we will confirm what is possible.
17. Can you accommodate dietary needs or mobility needs?
Often yes, depending on your needs and destinations. Please include details in your application, and we will confirm what we can accommodate.
18. Can you plan for families with children?
Yes. Please include ages, pace preferences, and any constraints in your application.
19. Can I cancel or get a refund?
You may cancel your application anytime before payment. However, because our planners begin crafting your custom itinerary immediately after payment is confirmed, the service becomes non-refundable at that point.
